How to Set Up Automated WhatsApp Replies for Your Business

WhatsApp isn't just a messaging app in South Africa. It's the primary business communication channel. Your customers are on it. Your leads prefer it. And they expect a response — fast.

The problem: you can't be on your phone 24 hours a day. Leads come in at 9 PM, on weekends, during meetings, while you're with other clients. Every unanswered message is a potential customer talking to your competitor instead.

Automated WhatsApp replies solve this. Not by replacing you, but by holding the lead's attention until you're available.

The Three Levels of WhatsApp Automation

Level 1: WhatsApp Business App (Free)

The WhatsApp Business app (different from regular WhatsApp) includes basic automation features that every SA business should set up immediately:

Away Messages

  • Set automatic replies for when you're unavailable
  • Schedule them for after-hours or specific days

Level 2: WhatsApp Business API + Make.com

This is where real automation begins. The WhatsApp Business API (accessible through providers like Twilio, MessageBird, or 360dialog) combined with Make.com lets you build sophisticated automated workflows.

What becomes possible:

  • A lead submits a Meta ad form → they automatically receive a WhatsApp message within 60 seconds
  • A lead messages your WhatsApp number → automated qualification questions are sent
  • Based on their answers, the lead is routed to the right person or receives relevant information
  • All conversations are logged in your CRM automatically
  • Follow-up messages are sent on a schedule

Example Flow:

Lead sends: "Hi, I'm interested in your insurance products"

Setting Up Level 1 (Do This Today)

Step 1: Download WhatsApp Business

If you're still using regular WhatsApp for business, switch to WhatsApp Business. It's free, and you can transfer your existing number.

Step 2: Set Up Your Business Profile

  • Business name
  • Category
  • Description (be specific about what you offer)
  • Address (helps with local search)
  • Business hours
  • Website link
  • Email

Step 3: Create Away Messages

Go to Settings > Business Tools > Away Message

Write a message that:

  • Acknowledges their message
  • Sets expectations for response time
  • Provides an alternative for urgent matters
  • Feels human (not robotic)

Good example:

"Hey! Thanks for reaching out to [Business]. We've received your message and will get back to you first thing in the morning (before 9 AM). If it's urgent, drop us an email at hello@business.co.za. Talk soon!"

Bad example:

"Thank you for contacting us. Your message has been received. A representative will contact you during business hours."

The first feels like a person set it up. The second feels like a corporate auto-reply. In SA, the personal touch matters.

Step 4: Create a Greeting Message

Go to Settings > Business Tools > Greeting Message

This is the first message new contacts receive. Make it:

  • Welcoming
  • Action-oriented (give them options)
  • Brief

Example:

"Hi! Welcome to [Business]. We help SA businesses grow with Meta ads, websites, and automation.

What can we help with? 💻 I need a website 📱 I need help with ads 🤖 I want to automate my leads 💬 Something else

Just reply and we'll take it from there!"

Step 5: Create Quick Replies

Go to Settings > Business Tools > Quick Replies

Set up templates for your most common responses:

  • /pricing → Your pricing overview
  • /hours → Your business hours
  • /portfolio → Link to your work examples
  • /quote → How to request a quote

Setting Up Level 2 (The Game Changer)

This requires a bit more setup but dramatically improves lead handling.

What You Need

  1. WhatsApp Business API access — through a provider like 360dialog, Twilio, or MessageBird
  2. Make.com account — the automation platform that connects everything
  3. A CRM — HubSpot (free tier), Zoho, or Google Sheets

The Setup Process

  1. Register for WhatsApp Business API through your chosen provider
  2. Get your API credentials
  3. In Make.com, create a new scenario:
    • Trigger: "Watch New Messages" (WhatsApp module)
    • Action 1: Parse the message content
    • Action 2: Send automated reply based on content
    • Action 3: Create/update CRM record
    • Action 4: Notify your sales team

Integration with Meta Ads

The most powerful combination: Meta lead ads → WhatsApp automation.

When someone submits a lead form on Facebook/Instagram:

  1. Make.com receives the lead data via webhook
  2. Automatically sends a WhatsApp message to the lead
  3. The message feels personal: "Hi [Name], thanks for your interest in [product]. I'm [your name] and I'll be handling your enquiry..."
  4. Lead responds → conversation continues (automated or handed to human)

Best Practices for SA WhatsApp Automation

1. Sound Human, Not Robotic

South Africans value personal connections. Your automated messages should sound like a helpful person, not a corporate chatbot.

A few relevant emojis make messages feel more natural on WhatsApp. But don't overdo it.

3. Keep Messages Short
